Purpose of the position

As a Customs Agent (Declarant) at Customs Support Group, you will handle day-to-day customs declarations and compliance tasks in a fast-paced environment, ensuring efficient processing of import/export shipments in line with Polish and EU customs regulations (including the Union Customs Code, Common Customs Tariff, and systems such as AIS/IMPORT PLUS, ECS/ICS). This role requires a detail-oriented professional with at least 3 years of experience in customs brokerage or related industries like logistics, freight forwarding, or international transportation. You will focus on accurate document preparation, regulatory adherence, and supporting team knowledge-sharing, while leveraging automation tools like Intelligent Document Processing (IDP) for streamlined handling of trade documents such as invoices, bills of lading, and customs forms to reduce errors and accelerate clearances.

Main Responsibilities:

  • Work Organization and Execution: Organize your workstation and diligently perform assigned duties in accordance with supervisor instructions, applicable regulations, and company policies, including systematic updates to customs law knowledge.

  • Asset and Data Care: Exercise particular care for company property, including equipment maintenance, reporting needs for repairs or replacements, and ensuring data security under GDPR (RODO) by preventing unauthorized access to systems and documents.

  • Knowledge Sharing: Share expertise with less experienced colleagues, train new agents, and supervise interns, trainees, or short-tenure employees in customs procedures.

  • Reporting and Issue Resolution: Inform supervisors about the status of tasks, encountered difficulties, and essential issues for handover to the next shift; take accountability for any losses due to negligence.

  • Document Handling: Receive source documents from carriers (e.g., waybills, invoices), register deliveries in customs clearance records, and prepare customs declaration documents across all procedures (e.g., standard imports/exports, temporary admissions, bonded warehousing).

  • Compliance and Timeliness: Control the timely submission of documents to the Polish Customs Office, ensure adherence to professional secrecy (e.g., not disclosing client addresses or goods prices), and strictly follow written agreements with clients.

  • Financial Transactions: Accept payments for agency services per the established price list and prepare cash reports.

  • Document Management: Maintain order in office documents, including client folders, authorizations, and copies of customs declarations.

  • Security and Response: Bear responsibility for personal data protection, detect and respond to security breaches, and comply with company procedures for assigned roles.

  • Additional Duties: Adhere to work schedules, assume personal accountability for workstation performance, and execute other instructions from direct supervisors or company management.

  • Automation Integration: Utilize IDP tools for automated extraction and validation of customs documents to enhance accuracy in HS code classifications, valuation, origin determinations, and handling of restricted goods (e.g., alcohol, tobacco, foodstuffs within EU limits).

  • Key Performance Indicators (KPIs): You will be accountable for the following crucial customs and business-related KPIs, measured monthly:

  • Declaration Accuracy Rate: Maintain 99% accuracy in customs declarations to minimize rework, errors, and penalties.

  • On-Time Submission Rate: Ensure 98% of documents are submitted to customs authorities within required timelines (e.g., 24 hours for urgent clearances).

  • Processing Efficiency: Handle an average of 20-30 declarations per shift, increasing by 10% year-over-year through IDP and process optimizations.

  • Compliance Adherence: Achieve 100% compliance with Polish/EU regulations, with zero major violations during audits (e.g., AEO standards, excise duties).

  • Client Query Resolution Time: Resolve client or carrier inquiries within 2 hours, contributing to overall team CSAT of 90%+.

  • Knowledge Sharing Impact: Mentor at least 2 junior staff per quarter, measured by their performance improvements in declaration handling.

  • Cost Management: Reduce processing errors leading to fines or delays, targeting a 5% reduction in office-level operational costs.

Requirements:

  • Secondary education or higher, preferably in Logistics, International Trade, or a related field.

  • Minimum 3 years of experience as a customs agent or in similar roles within customs brokerage, logistics, or transportation.

  • Licensed Customs Agent certification in Poland/EU, with practical knowledge of Polish customs operations (e.g., VAT on imports, temporary imports, restricted goods handling).

  • Familiarity with international customs practices, including WTO valuation methods, harmonized system (HS) codes, and trade agreements like CETA.

  • Experience with customs software and automation tools, such as IDP for document processing.

  • Strong attention to detail, organizational skills, and ability to work under pressure; proficiency in Polish and English (spoken and written); basic computer skills for systems like AIS/IMPORT PLUS.
