Job description
This Accounts Assistant position plays a vital role in the day-to-day operations of a small but busy finance office in Waterford. You will act as the key liaison between our customs declaration system (Thyme IT) and our finance system (Business Central), which is still in the early stages of integration.
This is a hands-on, detail-oriented role requiring consistent interaction with team members and declarants to ensure accurate, timely, and compliant financial processing.
Key Responsibilities:
Invoicing and Reconciliation:
Collate and download completed/invoiced jobs from Thyme IT.
Review and analyse jobs by frequency: daily, weekly, and one-off invoices.
Ensure all invoice lines are accurate and meet specific customer requirements.
Prepare and upload invoice files to Business Central, verify postings, and email invoices to customers.
Job Management:
Review and process non-Thyme invoices (e.g., ENS, PBNS, GMRs, TOR) directly in Business Central.
Prepare Duty/VAT invoices in real time as requested by declarants.
Communication and Support:
Liaise closely with declarants to resolve any errors, omissions, or queries without delay.
Respond promptly to customer requests, including providing copies of SADs, invoice breakdowns, or other documentation.
Month-End Duties:
Support month-end procedures related to Accounts Receivable, including:
Cash allocations
Issuing statements
Assisting with reconciliation
Team Support:
Provide holiday cover for other finance staff members (notably Fiona and Roger).
Support general ad hoc duties as required within the finance department.
Job requirements
Proven experience in an accounts assistant or similar role, ideally within a customs/logistics environment.
Strong familiarity with invoicing systems; experience with Thyme IT and Business Central is a significant advantage.
Excellent attention to detail and ability to multi-task in a deadline-driven environment.
Strong communication skills and proactive problem-solving approach.
Competency with Excel and other Microsoft Office applications.
